The Richmond Hill Hockey Association is a not-for-profit organization dedicated to providing affordable and accessible hockey programs for youth in Richmond Hill. We rely on the generous support of volunteers and donors to keep our programs running and ensure that all children have the opportunity to play hockey. 50/50 draws are an important part of our fundraising efforts, helping us to cover costs such as ice time, equipment, and registration fees.
About the Role:
We are seeking a responsible and enthusiastic volunteer to manage our 50/50 draws throughout the hockey season. This role involves overseeing all aspects of the draw, from ticket sales to prize distribution. The 50/50 Fundraising Lead will play a key role in generating funds to support our hockey programs and ensuring a positive experience for participants.
Responsibilities:
· Pre-Draw Preparation:
o Obtain and manage 50/50 tickets and associated materials.
o Coordinate with marketing and front office staff to promote the draw and ensure adequate ticket supply.
o Establish clear procedures for ticket sales ensuring transparency and accountability.
o Ensure compliance with all applicable regulations regarding 50/50 draws. This might involve obtaining necessary licenses or permits.
· During the Event/Game:
o Set up a designated 50/50 sales booth/area.
o Recruit and train volunteers to assist with ticket sales (if needed).
o Oversee ticket sales, ensuring accurate cash handling (if required) and recording.
o Promote the 50/50 draw to attendees.
· Post-Draw Procedures:
o Conduct the draw in a fair and transparent manner, witnessed by at least one board member.
o Announce/publish the winning ticket number and prize amount.
o Verify the winning ticket and distribute the prize to the winner.
o Reconcile ticket sales and cash collected.
o Ensure proper record-keeping.
o Prepare a detailed report of the draw results, including the total amount raised, the winner's information (while maintaining privacy), and the organization's share.
o Submit the report to the Fundraising Manager, treasurer, and board of directors.
Qualifications:
· Strong passion for supporting youth sports and community involvement.
· Strong organizational and time-management skills.
· Ability to handle cash responsibly and accurately.
· Excellent communication and interpersonal skills.
· Ability to work independently and as part of a team.
· Knowledge of or willingness to learn about local regulations regarding 50/50 draws.
